What a job costs, and why

Every price is a base fee for the vehicle category, a rate per kilometre and any extras. Both are built from what it actually costs to run a compliant vehicle in Kenya today: fuel, driver, upkeep, insurance and the vehicle itself.

Price = base fee + (rate per km × distance) + extras

Distance is the loaded route from pickup to final drop. Prices are in Kenya Shillings and exclude VAT at 16%, which is added on the eTIMS invoice.

For reference: Athi River EPZ to Mlolongo is about 12 km, to JKIA about 20 km, to Nairobi Industrial Area about 30 km, and to Kitengela about 15 km. Trips over 150 km, and multi-day hire, are quoted on request.

Running costs

What goes into the price

We publish our cost model so you can see the price is fair. Costs per kilometre move with fuel; costs per trip are the share of a day's fixed costs that one job carries.

Fuel worked out at KSh 227.76 per litre of diesel, the EPRA maximum pump price in Nairobi for 15 October to 14 November 2026.

Driver & crew covers a licensed driver on a monthly wage with the employer's NSSF, SHIF and Housing Levy, plus a turn boy on trucks. Insurance is comprehensive commercial cover with goods-in-transit. Vehicle finance & wear spreads the price of the pickup or truck over its working life, so it can be replaced when it is worn out.

On top of these we carry about 12% for the dispatch desk, office, M-Pesa and bank charges, and unpaid invoices. What is left is our margin. Partner vehicles receive a fixed share of the price, so the same cost model keeps partner payouts viable too.

Worked example

Medium Cargo truck on a 25 km trip, with one loader and no waiting:

Base fee
KSh 8,000
Distance
25 km × KSh 120 = KSh 3,000
Loader

Subtotal
KSh 12,500
VAT 16%
KSh 2,000
Total invoiced
KSh 14,500

Of the KSh 11,000 before extras, about KSh 1,140 is diesel, KSh 500 tyres and servicing, and KSh 4,140 the driver, turn boy, insurance and vehicle. That is KSh 5,780 in direct running costs.

When fuel prices change

EPRA reviews pump prices on the 14th of every month. If diesel moves by more than 5% from the price above, we adjust the per-km rate from the next cycle and update this page. Confirmed jobs keep their confirmed price.
